These terms and conditions (“Terms”) apply when you enquire about or book a trial class, introductory session, or other class offered by Hicks Family Martial Arts School (“we”, “us”, “our”) through our website or booking form. Please read them carefully before you submit a booking enquiry.
1. About us
Hicks Family Martial Arts School provides martial arts and fitness training. If you have questions about these Terms, contact us at hickskarate@aol.com.
2. Booking enquiries and trial classes
- Submitting the online booking form is an enquiry or request for a place. It does not guarantee availability until we confirm your booking.
- We may contact you by email, phone, or text message to confirm details, reschedule, or follow up on your enquiry.
- We reserve the right to refuse or cancel a booking if a class is full, unsuitable, or for operational or safety reasons.
3. Your agreement
By ticking the agreement box on our booking form and submitting your details, you confirm that you have read and accept these Terms and that the information you provide is accurate.
4. Health, safety, and participation
- Martial arts and physical training involve risk of injury. You participate at your own risk.
- You must disclose any medical condition, injury, or limitation that may affect your safe participation. We may require a doctor’s clearance before you train.
- You must follow instructor directions and club rules at all times. We may suspend or end your participation if we reasonably believe it is unsafe or disruptive.
- You are responsible for bringing suitable clothing and equipment and for your personal belongings on the premises.
5. Fees and payment
- Trial or introductory sessions may be free or charged as stated at the time of booking or on our website.
- Ongoing membership or class fees, payment methods, and any joining requirements will be explained separately before you commit to regular training.
6. Cancellations, lateness, and changes
- If you cannot attend a confirmed session, please notify us as soon as possible using the contact details above.
- We may need to cancel, reschedule, or change instructors or venues. We will try to give reasonable notice and offer an alternative where possible.
7. Communications
By providing your phone number and email address, you agree that we may contact you about your booking, class reminders, and related club information by email, phone, or SMS. You may opt out of marketing messages at any time; service messages about your booking may still be sent where necessary.
8. Personal data
We process personal data you submit (such as name, contact details, date of birth, and booking preferences) to manage enquiries, bookings, and training. We handle personal data in line with UK data protection law. For more information about how we use your data and your rights, see our privacy notice on this website (if published) or contact us.
9. Children and young people
If the participant is under 18, a parent or legal guardian must submit the booking and agrees to these Terms on the participant’s behalf. The guardian confirms they have parental responsibility and consent to the child’s participation.
10. Photography and recordings
We may take photographs or videos during classes or events for promotion or training purposes. If you do not wish you or your child to be included, please tell us in writing before the session.
11. Limitation of liability
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law. Subject to that, we are not liable for any indirect or consequential loss. Our total liability arising from your booking or attendance at a trial session is limited to the amount you paid us for that session (or zero if the session was free).
12. Changes to these Terms
We may update these Terms from time to time. The version on this page when you submit a booking applies to that enquiry. Material changes will be reflected by updating the “Last updated” date above.
13. Governing law
These Terms are governed by the laws of England and Wales. Courts in England and Wales have exclusive jurisdiction, without prejudice to your statutory rights if you are a consumer resident elsewhere in the United Kingdom.
